Event Rules

REGISTRATION:

In order to help expedite event check in, we have opted to go as paperless as possible, to register for EPIC Education Center events you will need to purchase a ticket (when applicable) through our event purchase page on our Ticketing site and complete our electronic registration form through Typeform.com.

 

A hyperlink to the purchase page will provided on the FetLife event page, our Twitter page and our website. Upon purchasing a ticket you will receive a hyperlink for our electronic registration form via the email address you provide during your ticket purchase.

 

Venue name and address will only be given to paid ticket holders.

 

Presenters/Vendors/Staff/Volunteers. We will not disclose venue information via request through PM and general inquiries. Venue information will not be publicly advertised.

 

CHECK IN:

Please remember to bring your paper ticket to the event check in desk. No entrance will be permitted without your paper ticket. If you are having trouble accessing your ticket, please email epiceducationcenter@gmail.com with your order number and we will assist you.

 

You must also have your government id to present with your ticket, the only acceptable forms of identification are: Driver's License, State Id, Passport. Identification checks are visual only, no information is recorded.

 

You will be required to complete one of our photography forms at check in:

  • Photography Consent and Release for those who consent to photography

  • Photography Decline of Consent for those who decline photography ("No Photo" wristbands will be provided)

 

Name badges at shared property events must be on your person at all times, exception being inside your guest room. They do not have to be visible to the public, however they must be shown to our staff members and/or hotel management/event staff upon request and when entering event spaces (i.e: meeting rooms, banquet rooms, etc). EPIC reserves the right to modify this procedure as deemed necessary to provide an adequate balance between discretion and security for our attendees on a shared property. If a replacement Name Badge is required you will need to present your government id to an EPIC Senior Staff member to receive a new one.

 

Wristbands must be kept on throughout the event, if a replacement wristband is required you will need to present your government id to an EPIC Senior Staff member to receive a new one.

RECORDING, TRANSMISSION AND EXHIBITION:

Attendees are not permitted to record or transmit, or aid in recording or transmitting, any description, account, picture, or reproduction of the event. EPIC Education Center events are private events, the appearance and actions inside and outside the venue where the event occurs are private, and attendees do not have permission to violate the privacy of other ticket holders/attendees by recording, transmitting or exhibition of the event.

 

Violation of this policy will be cause for immediate rejection from the event without refund from EPIC Education Center and the Event Venue.

We provide an event photographer at the majority of our events. Each event will clearly state if an event photographer will be provided. When an event photographer is provided we will have "No Photo" wristbands available for those who wish to decline photography.

 

EPIC reserves the right to authorize approved individuals to shoot photographic scenes for promotional purposes during the course of an event. In such case, these will be closed controlled scenes that will not impede on the privacy or security of attendees.

 

Any violation of this policy will be cause for confiscation and deletion of photographs/videos and immediate removal from event and venue without refund. We have a zero tolerance policy for unauthorized photography/videography.

 

When an event portrait photographer is present, they will set their own pricing, terms and scheduling, as well as provide their own photography releases. EPIC Education Center/Beltane shall be held harmless from this service and the event portrait photographer assumes sole responsibility for services offered. The use of said photographer is optional and at the sole discretion of the participant.

 

MOBILE DEVICE POLICY:

Attendees are not restricted from having their mobile devices on their person in a pocket, purse, bag, etc during the event. Ringers MUST remain on silent for the courtesy of others.

 

Attendees are restricted from using their mobile devices for TEXTING AND/OR PHONE CALLS in classrooms, event space restrooms, event space balconies and event banquet/party room.

  • If you need to make a phone call or send a text, exit the event spaces and utilize one of the many common areas of the resort.

 

At no time are any attendees permitted to use their mobile device cameras in classrooms, event space restrooms, event space balconies and event banquet/party room. Violation of this policy will result in the following:

  • Our security team will supervise the deletion of any and all unauthorized photographs and you will be subject to immediate removal from the event and venue without refund of event registration fee and hotel fee.

 

We expect the all of our attendees and staff to respect the privacy and confidentiality of fellow attendees and staff.

 

Presenters are permitted to use mobile devices for the purposes related to the presentation of their classes. They are only permitted to use cameras in the course of presenting photography based classes.

 

EPIC Education Center staff are permitted to use their mobile devices for the purpose of conducting the event. Senior staff members may use their mobile device cameras and/or an attendees mobile device camera to take a photograph upon an attendees request and consent when the event photographer is unavailable.

 

GENERAL RULES:

Enthusiastic Consent is MANDATORY!

  • If your consent is breached and/or violated please report incident immediately to our Security Team and or an EPIC Staff Member.

  • All consent issues will be dealt with swiftly and compassionately.

  • Privacy and identity will be respected and protected.

  • Our Security Team Staff and Director of Operations are available 24 hrs a day throughout the event.

Respect everyone and their property and belongings. Respect each other's privacy, personal boundaries, confidentiality and anonymity!

​

 

Smoking indoors is strictly prohibited. This includes cigars, vapors and e-cigs.

​

EVENT ID:

Only properly identified service animals are permitted in the event spaces and on hotel property. Service animals are not allowed on any furniture. It is your responsibility to check with the host venue for any additional fees and /terms in regards to service animals/pets.

 

Please be respectful and remember that some attendees may:

  • have animal allergies

  • be fearful of certain animals and/or breeds

  • and may just not be animal people

DRUGS & ALCOHOL:

Any substance classified as illegal by Federal and/or State Laws (State of event location) is prohibited.

 

Violation will result in immediate removal from the Hotel campus and event without refund.

 

Events where alcohol is permitted will have their own specific terms & conditions pertaining to:

  • Off limit areas, Off site purchases, etc.

 

We reserve the right to remove any individual we assess to be intoxicated from the event spaces.

 

We want everyone to have fun and enjoy themselves, however, the *SAFETY OF ALL ATTENDEES* is our first and foremost priority. Please drink responsibly and don't let your good time ruin someone else's.

 

DUNGEON/PLAY/BODY FLUID RULES:

1. Consent is MANDATORY! See Rule #1 under General Rules

2. Full Nudity when permitted is restricted to designated event spaces

​

3. Sex Positive activity, when permitted, is restricted to designated spaces in dungeons.

​

4. Chux MUST be used on any surface that may come in contact with exposed body parts. 

​

5. Clean dungeon equipment and any surface that you use for play and/or sex when you are finished.

​

6. Medical play/blood play when permitted at event is ONLY permitted in designated areas. (more information will be provided in event program and on site)

​

7. Fire play when permitted at event  is ONLY permitted in designated areas. (more information will be provided in event program and on site)

 

8. Wax play when permitted at event is ONLY permitted in designated areas. (more information will be provided in event program and on site)

​

9. DM's are present to help provide a safe play environment for all. If you disagree with a DM's call please feel free to request to speak to Beltane or the CRF Team (when utilized at certain events the CRF Team will be available to assist any attendee resolve any interpersonal conflicts or problems that arise during the event. To access the CRF Team ask any DM or Security personnel.)

10. Beltane maintains the final decision on all security matters. During events where the CRF team is utilized Beltane will take the CRF Team's recommendation into serious consideration before any final decisions are made. Please keep in mind the purpose of the CRF Team is to find a peaceful resolution so that all parties may return to enjoying the event.

VIOLATION OF RULES MAY BE CAUSE FOR EJECTION FROM EVENT AND VENUE WITHOUT REFUND AND A BAN FROM ALL EPIC EDUCATION CENTER EVENTS (BAN, IF APPLIED, WILL BE FOR A PERIOD OF 6 MONTHS TO LIFETIME AND WILL BE DETERMINED BY SEVERITY OF RULE VIOLATION. ALL BAN DECISIONS WILL BE FINALIZED BY BELTANE)

VIOLATION OF PHOTOGRAPHY RULES WILL BE CAUSE FOR IMMEDIATE EJECTION FROM EVENT AND VENUE WITHOUT REFUND, CONFISCATION & DELETION OF PHOTOS/VIDEOS AND A MINIMUM 6 MONTH BAN FROM ALL EPIC EDUCATION CENTER EVENTS. PLEASE READ THE PHOTOGRAPHY RULES CAREFULLY AND THOROUGHLY.

Additional rules will be added as the EPIC Education Center Directors and the Host Venue deem necessary.
